Build order:Program → cohort → forms → team → placement → assignments → delivery → access
1

Open or create the program

Use the program’s Overview and Configuration to confirm its name, status, dates, and basic setup. Draft programs are not ready for live delivery.

Programs → program → Overview / Configuration
2

Create or choose the cohort

Use Cohorts for the group’s dates, team, and status. Keep the cohort details current so the roster and sessions have the right context.

Program → Cohorts → cohort → Details
3

Prepare forms and the program team

Use Forms & Assessments for the information your team collects. Use Team to confirm who can work in the program. Being on the team does not automatically assign a guide.

Program → Forms & Assessments / Team
4

Place people into the program

Use Roster to see members and Placement to add someone. Adding someone to a cohort does not automatically create their FORT account.

Cohort → Placement / Roster
5

Manage the work they move through

Use Assignments for work and feedback, Delivery to connect work to a session, Account access for invitations, and Documents for shared materials.

Cohort → Assignments / Delivery / Account access

Program states

  • Draft: setup is still in progress.
  • Active: the team is using it for live work.
  • Archived: the program is retained for reference, not active delivery.

Common mistakes

  • Adding someone to a cohort and expecting an account invitation.
  • Putting someone on the program team and expecting a guide assignment.
  • Creating a FORT session and assuming Calendly or Zoom was booked.
