Access chain:Organization → role → invitation → acceptance → program/cohort → guide → permissions
1

Find or add the person

Open People and search by email first. If they are not there, create the person record using the email address you will invite.

People → search / add
2

Choose organization access and role

Open People & Access, choose the organization membership and role the person needs, and confirm what that role should let them see or do.

People & Access → role
3

Send the invitation

Confirm the email address before sending. A sent invitation is not the same thing as an accepted invitation.

Invitations → send
4

Confirm acceptance and delivery

Return to Invitations and check the status and delivery history. Pending means the person still needs to accept and sign in.

Invitations → status / history
5

Place the person in the program or cohort

Use the program’s Placement or cohort Roster area. Program placement is separate from account creation and organization access.

Program → cohort → Placement / Roster
6

Assign the guide separately

Completing intake or adding someone to a program team does not automatically assign a guide. Confirm the assignment as its own step.

Intake / person record → guide assignment
When access is wrong: check organization membership, role, invitation status, program placement, cohort membership, guide assignment, and permissions one at a time.
