What “done” looks like: the person has received the right invitation and forms, their intake has been reviewed, their program placement and guide are clear, and they know what happens next.

1. Prepare before you invite

Get the basics ready

Choose the program and cohort

Open Programs and confirm where this person belongs. If the cohort is not ready, finish its dates, team, forms, and details first.

Confirm the person’s role and access

Decide whether they need student, program team, guide, or another role. Keep organization access, program placement, and guide assignment as separate decisions.

Prepare the welcome message and forms

Use Email to prepare the welcome message. Confirm the required form or assessment under the program’s Forms & Assessments area.

2. Invite the person

Give them a way in

Add or find the person

Open People to search first. Avoid creating a duplicate record if the person is already in FORT.

Send the invitation

Open People & access, confirm the email address and role, then send the invitation. Sending it does not mean the person has accepted it yet.

Send the welcome email and required forms

Send the welcome message and the forms or assessment the person needs to complete. Before sending, check the recipient, sender, subject, and message.

3. Review what comes back

Turn intake into a plan

Check invitation status

Return to Invitations and check delivery history. Pending means the person still needs to accept the invitation and sign in.

Review the submitted intake

Open Review intake, read the answers and notes, then choose the program and cohort.

Save or complete the review

Save a draft while you are still deciding. Complete the review when the next step is clear, and add notes that explain the decision.

4. Place, assign, and welcome

Make the handoff clear

Place the person in the cohort

Use the cohort’s Placement or Roster area. Adding someone to a cohort does not automatically create their account.

Assign the guide separately

Choose a guide when ready, then confirm the assignment. Being on a program team does not automatically assign a guide to a person.

Confirm the first next step

Send the person to their first assignment, conversation, or session. If you schedule a session in FORT, confirm the actual meeting in Calendly or Zoom too.

If something is stuck

  • No invitation: check the email address, role, and invitation history.
  • No intake: confirm the person received the form and has signed in.
  • No guide: check program placement and guide assignment separately.
  • Empty list: check the organization, filters, status, permissions, and refresh.
